Senior Administrative Assistant

Hilton Grand Vacation is currently seeking a Senior Administrative Assistant. As a Senior Administrative Assistant you are responsible for giving direct administrative support to the General Manager. This position would assist in communications within the department, company, outside the company and guests/owners. Additionally, assist in the preparing and coordinating the Board of Directors Meetings.

Essential Duties and Responsibilities
* Ordering office supplies.
* Data entry for SALT Scores, Guest Comment Cards and related statistic reports.
* Coordinating the Board of Directors Meetings for both KTVS and HVVS (i.e., preparing Board of Directors Meeting books, making arrangement for the conference room, setting up the conference room, etc)
* Handling correspondence materials to club owners including translation to Japanese.
* Handling the election of new Board of Directors including proxy tally.
* Assist in preparing the Board of Directors quarterly reports.
* Handling both revising and ordering of Guest Directories.
* Assisting club owners with understanding the Maintenance Fee billing (both Japanese and domestic).
* Translating letters and comments from and to Japanese owners.
* Updating monthly and weekly reports which includes SALT and Actual Occupancy Report.
* General office administration to include: filing, answering phones, minutes taking and letter writing

Job Requirements :
Job Requirements
* Bilingual ability to speak, read and write in Japanese and English is required.
* Minimum 2 years of administrative experience. Executive administrative experience preferred.
* Must demonstrate proficiency with Microsoft Office Suite applications.
* Must be able to type at least 40wpm.
* Must demonstrate excellent communication (written and spoken) and interpersonal skills.
* Manage multiple tasks and assignments and demonstrate strong organizational skills in a fast paced work environment.
* Address guests and team members using Japanese and English language skills acceptable in a business environment.
* Maintain a professional appearance and attitude.
* High school graduation is required. Two years of college or equal experience in a business or hospitality environment is preferred.
